WHY CARRIER REVIEW
First - It's become apparent that as our user base has grown and relationships with carrier partners have strengthened that having the producer review legal documents before affixing the producer's signature to these legal contracts is a necessary and crucial step. From a Compliance and Legal perspective this move is designed to combat fraud
Second - The producer is signing legally binding documents that the carrier requires. Therefore, the producer needs the opportunity to review what he or she is signing. SuranceBay realizes that agency workers' role within an agency is to process contracting paperwork and get the producer appointed with the necessary carriers. The review shouldn't be viewed as a burden but a necessary step.
WHO CAN REVIEW CONTRACTING PAPERWORK
Producers only. Agencies should not login to review carrier contracting paperwork on behalf of their producers. Only actual producers requesting a contract should login to review their paperwork. If anyone other than a producer logs in to review the producer's paperwork, it is considered improper use of SureLC.
Carriers that require review often contact SuranceBay's Technical Team asking who confirmed the paperwork. SuranceBay logs every button pressed by every user, as well as their IP addresses. SuranceBay knows who did what from where. As part of the contract of including these carriers' contracting forms within the SureLC platform, SuranceBay must provide these carriers with the requested information when asked.
WHICH CARRIERS REQUIRE REVIEW
All carriers included within SureLC require the producer to review. Of the 5 request types (Contract, Transfer, Hierarchy, Payment, and Add-State), only Contract and Transfer requests require the producer to review. Add-State, Hierarchy, and Payment request types do not require review because the forms used in these scenarios do not have the producer "sign" the form.
WHEN CAN CARRIER CONTRACTING PAPERWORK BE REVIEWED
Anytime.
Producers using SureLC-Web when requesting contracts for carriers that Require Review, are presented automatically with the carrier contracting paperwork to review before their request is submitted to your agency. Alternatively, you can submit Review Requests directly within SureLC to your producers if you are initiating the contract request for one of these carriers.
WHERE CAN CARRIER CONTRACTING PAPERWORK BE REVIEWED
On any device anytime. Note that whoever logs in to review carrier contracting paperwork and clicks Apply My Signature or Sign, SuranceBay automatically captures where the confirmation took place (geolocation), including the IP address, ISP provider, and other details for legal purposes.
EXCEPTIONS
SuranceBay will make exceptions on a per-carrier basis if the carriers' Legal and Compliance Team contact us directly at legal@surancebay.com or compliance@surancebay.com to indicate that producers requesting contracts with them do not have to review the contracts or paperwork to which the producer's signature is affixed.
